This Privacy Policy explains what information SmartFinLabs collects, how we use it, and the choices you have. In plain terms: you own your financial data, we process it only to provide the Service to you, and we don’t sell it. 1. Information We Collect
We collect the following categories of information:
- Account data: your name, email, organization, and role.
- Financial data you import: parties (debtors and creditors), receivables, payables, vouchers, references, narrations, GSTIN, contact details, and transaction history.
- Usage data: logs, device and browser information, and analytics.
- Communications: reminder threads and replies sent through connected channels.
2. How We Use Information
We use information to provide and improve the Service, compute risk scores, generate actions and reminders, process billing, provide support, and maintain security.
3. AI & Automated Processing
Your data is processed to produce risk scores and assistant responses. Outreach is human-in-the-loop: the Service suggests actions, but a person decides what to send.
We do not use your Customer Data to train third-party models without your consent.
4. Legal Bases
Where applicable (for example, for users in the EU or UK), we process personal data on the bases of performance of a contract, our legitimate interests in operating and improving the Service, and your consent where required.
6. Third-Party Integrations
When you connect services such as Gmail or Tally, we access only the scopes needed to provide the relevant features, for example sending reminders or importing ledger data. You can revoke access at any time from the integration’s settings or the provider’s account controls.
7. Google API Services User Data Compliance
SmartFinLabs uses Google Workspace APIs only to provide the functionality requested by the user. Any use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
SmartFinLabs uses Google’s Gemini AI models through Google Cloud to process user-authorized data solely for providing requested features. Google Workspace data is not used to train generalized AI models, and SmartFinLabs does not use such data for advertising or any unrelated purposes.
8. Data Retention
We retain Customer Data while your account is active. On termination, you may export your data within a reasonable window, after which it is deleted in accordance with our retention schedule and legal obligations.
9. Security
We protect data with encryption in transit and at rest, strict per-organization isolation, and access controls. No system is perfectly secure, but we work to safeguard your information consistent with industry practice.
10. Your Rights
Depending on your location, you may have rights to access, correct, delete, port, or object to the processing of your personal data. To exercise these rights, contact privacy@smartfinlabs.com.
12. International Data Transfers
